The Philippine Embassy in Berne, Switzerland requests for quotation for the project “Lease of Venue / Conference Services for the Consular Outreach in Ticino and a Presentation on Philippine Development Updates” on 28 September 2019.
Interested suppliers should comply with the attached Terms of Reference (TOR) of the project.
Interested suppliers may obtain further information from the Administrative Officer and BAC Secretariat, Ms. Agnes H. Tuazon at 031-350-1715.
Offers must be delivered to and received by Administration by Wednesday, 04 September 2019. Offers shall be considered on the same day by the Committee. Suppliers shall thereafter be informed of the decision of the Committee.
ANNEX A Technical specifications Procurement of Lease of Venue and Conference Services

Background:
The Philippine Embassy intends to lease two (2) venues in Lugano, Ticino for the holding of its Consular Outreach Program on Saturday, 28 September, from 07.00H until 19.00H, and a presentation of the Philippine Ambassador on current issues in the Philippines from 08.00H to 12.00H of the same day. |

Scope of Work:
The Contractor shall undertake the following: |
Statement of Compliance |

|
1. Provide package proposal for the use of two (2) adjoining conference rooms: 1) one room for whole-day use that can accommodate 50 to 100 participants theater style; and 2) one room for use during the apero that could accommodate around 50 persons for the events mentioned above on Saturday, 28 September 2019
|
|
|
2. Provide in conference room 1 (big room / for whole day use), which will be divided into two sections with a panel or divider,the following: 1st section – one (1) podium; two (2) microphones with stand; one (1) projector; one (1) widescreen; one (1) table for use by the secretariat; conference chairs for use of about 50 to 100 participants; 2nd section - six (6) long tables measuring approximate 3 ft. x 6 ft.; and 20 conference chairs; and High-speed whole day internet connection for at least three (3) computers / gadgets / equipment of the Embassy

3. Provide in conference room 2 (small room / whole day use) the following: buffet tables for the food and drinks to be served during the apero
|

4. Make provisions for the Embassy to bring in additional food to be served during the event
|

Contractor’s Obligations:
The Contractor shall: |

1. Provide professional Conference Services management of the event |
|
|
2. Provide suitable venues as specified in III. 1-3
|
|
|
3. Provide adequate personnel to oversee the event
|
|
Contract Duration and Offer
|
|
|
|
1.The Contract shall be for 28 September 2019.
|
|
|
2. The offer shall include a breakdown of the cost.
|
|
|
3. The offer shall be exclusive of MWST/VAT refund.
|
|
Terms of Payment 1. The invoice shall be addressed to the Philippine Embassy in Berne, Switzerland, and should indicate that the same is for conference services / lease of venue (with provision for food and drinks to be served during the event).
2. Full payment shall be made within seven (7) days from receipt of the official invoice (send-bill arrangement) by postal mail.
